AI quote and sales order automation for Exact Online and Exact Globe
ERP Agent reads the customer’s request from email, PDF or Excel, identifies the right items in your Exact item list, brings in that customer’s price agreements and creates a quotation or sales order in Exact Online or Exact Globe once your rep has approved it. We set up the Exact connection for your company during onboarding.
What ERP Agent reads from Exact Online
The connection runs through the standard Exact Online REST API and signs in with OAuth 2.0. ERP Agent works from your item list as it is today.
| Data in Exact Online | REST API | What ERP Agent does with it |
|---|---|---|
| Items and units | logistics/Items, logistics/Units | Identifies the right item for every request line from the customer’s own wording, and checks each item code exists in Exact before anything is written |
| Customer item codes | logistics/CustomerItems | Recognises the customer’s own part number when you keep those codes in Exact Online |
| Accounts | crm/Accounts | Finds the customer behind the request, warns the rep when none matches and flags a delivery address that differs from the one in Exact |
| Sales prices and price agreements | logistics/SalesItemPrices, sales/SalesPriceLists | Puts the price Exact sets for this customer on every line: the price agreement, the price list linked to the account or the volume discount |
Your items, price lists and accounts stay exactly as they are: the agent reads them and never changes them.
What ERP Agent writes to Exact Online
Two documents, both written only after a rep has approved the draft.
| Document | REST API | What is written |
|---|---|---|
| Quotation | crm/Quotations, crm/QuotationLines | The customer, the customer’s own reference and every approved line with item, quantity, unit and price from Exact, or the price your rep set in review |
| Sales order | salesorder/SalesOrders with SalesOrderLines | The same lines, plus the requested delivery date and the delivery address taken from the request |
Both are ordinary Exact Online documents your team opens and edits like any other. When a customer accepts a quotation, you turn it into a sales order in Exact as usual.
Exact Globe Next and Exact Globe+
On Exact Globe, the connection runs through Exact Globe’s entity services, the web service with REST and SOAP entry points that Exact ships with Globe. Through them ERP Agent reads items, units, debtors and debtor price lists, and creates quotations and sales orders. Where it suits your setup better, we use Exact Globe’s XML import for quotations and sales orders.
Exact supports Exact Globe Next until the end of 2027 and develops Exact Globe+ further. Exact Globe+ has entity services too, so whether you move now or stay on Globe Next for a while, we set up the connection on the version you run.
Why distributors on Exact add an AI quote agent
The hard part of a quote is not typing it into Exact. It is reading “6205 2RS” or a customer’s own part number and knowing which item that is, what this customer pays for it and which lines need a second look. According to our case study, a sales rep spends on average 4–7 minutes per line when creating quotes and orders by hand; for a 30-line enquiry, that is two to three and a half hours.
ERP Agent does that groundwork. It is the first agentic AI layer for wholesale distribution ERP systems, and on Exact it works on top of the system you already run: no replacement project, and nothing changes for your customers. They get answers sooner, reps spend their time on judgement and selling, and new reps are productive sooner. Put a number on today’s manual work with the quote cost calculator.
The same agent runs quote automation and order entry automation on any ERP; this page covers what it does inside Exact.
How Exact quote automation works
A request reaches the agent
Reps forward the customer’s email from Outlook to your company’s own agent mailbox, or paste it into the web app as it is and choose quotation or sales order. PDF (scanned too), Excel, CSV, Word, images and forwarded emails all work. Your own systems can send requests through the REST API or the MCP server.
It finds the customer and the items
The customer is identified from the request and matched in your Exact accounts. Abbreviations, dimensions, materials, manufacturer numbers and customer part numbers are mapped to your items, and candidates that contradict a stated size, voltage or rating class are pushed down. A request in Dutch, French or English finds items described in another language. A line too vague to identify goes on your placeholder item with the customer’s wording kept, never a guess.
Prices come from Exact
Each line carries the price Exact sets for that customer, from price agreement to volume discount. Standard fee rows, such as packing, are added following your rules.
A rep reviews the draft
Lines appear in the table as they are matched. The rep checks the marked ones, takes an alternative where needed, makes changes in quote chat and approves.
It is created in Exact
Every item code is checked against Exact first, so a document never carries a code Exact doesn’t know. A short countdown lets the rep cancel. The lines your team sends teach the agent: the next time a customer writes the same thing, it picks the same item.
Example: an emailed enquiry becomes an Exact Online quotation
A maintenance contractor emails a list to an industrial supplies distributor that runs Exact for Wholesale Distribution. The rep forwards it to the agent mailbox, which is set to create quotations.
“Please quote the list below for our Hull site, delivery Friday if possible.”
- 10 x 6205 2RS bearing
- 20 x M10 nyloc nut A2
- 5 boxes nitrile gloves L
- 2 x V-belt SPA 1250
- 12 x your part XP-310
- 1 x misc. fixings
| Request line | Proposed Exact item | Qty | Match | Note |
|---|---|---|---|---|
| 6205 2RS bearing | Deep groove ball bearing 6205-2RS, 25 × 52 × 15 mm | 10 | 97 | “2RS” read as rubber seals on both sides. |
| M10 nyloc nut A2 | Hexagon nut with nylon insert DIN 985 M10, A2 stainless | 20 | 95 | “Nyloc” read as a nylon insert lock nut. |
| nitrile gloves L | Nitrile disposable gloves, size L, box of 100 | 5 | 79 | Powder-free and powdered versions both fit; marked for review (under 80). |
| V-belt SPA 1250 | Wedge belt SPA 1250 | 2 | 92 | Section and length match. |
| your part XP-310 | Grease cartridge, lithium EP2, 400 g | 12 | 98 | The customer’s own code, found in the customer item codes in Exact Online. |
| misc. fixings | Placeholder item, wording kept | 1 | – | Too vague to identify; the rep decides. |
Illustrative example with sample items, codes and scores. In a real draft each line also carries the customer’s price from Exact, and the Hull site address is flagged because it differs from the customer’s address in Exact.
What the rep sees before anything reaches Exact
- A match score from 0 to 100. Lines under 80 are marked, so review starts where judgement is needed. How the match score works.
- Reasoning. Open a line to see why the agent chose that item.
- Alternatives. Runner-up items are kept for every line; take one instead with a click.
- Quote chat. Add or remove rows or change quantities and prices, then approve or reject each proposed edit line by line.
- Your team stays in control. The rep approves the draft before it is created in Exact, and nothing reaches a customer without approval.

Security and control
- GDPR-compliant, zero data retention. ERP Agent is GDPR-compliant, and models run with zero data retention. More on security and data handling.
- Access agreed first. Before setup, we agree which data the agent needs and which systems it can access.
- Only the access the work needs. In Exact Online, a user with access to your administration grants consent through the Exact sign-in, and the connection asks only for the parts of the API the work uses: items, accounts, sales prices, quotations and sales orders.
- A person approves. Nothing is written to Exact until a rep approves the draft, and nothing reaches a customer without your team.
- Reads, never rewrites. Items, prices and accounts are read; the agent creates quotations and sales orders and changes nothing else.
Onboarding: what we need from you
We set up the Exact connection for your company during onboarding. Your reps don’t wait for it: they start with a catalogue file the same week.
A catalogue export
An export of your items from Exact, for example to Excel or CSV. Reps forward real requests from the first week, reviewing every draft in the web app. See starting from a catalogue file.
Access to Exact Online
We handle the app registration with Exact. A user with access to the right administration gives consent once through the Exact Online sign-in.
Or: Exact Globe’s entity services
On Exact Globe Next or Exact Globe+, your IT partner makes the entity services securely reachable for ERP Agent, and we set up a dedicated Globe user with only the rights the work needs.
Your rules and history
Which placeholder item takes lines too vague to identify, which fee rows the agent adds, and past quotes or Outlook email history, so the agent learns how your customers write.
Live in Exact
Once the connection is live, customer prices come from Exact and approved quotations and sales orders are created there directly.

Exact today, any ERP tomorrow
ERP Agent integrates with Exact, Business Central, SAP, Odoo, Sage and any other ERP or CRM. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week. Group companies on different systems use the same agent and the same review screen on each. See Business Central, Odoo, Sage and all integrations.
ERP Agent is live with steel, HVAC and fastener distributors. What it checks on each line follows your trade: bearing and belt sizes for industrial supplies distributors, DIN and ISO codes for fastener distributors, pipe sizes and fitting types for plumbing wholesalers.
Frequently asked questions
Does ERP Agent work with Exact Online?
Yes. ERP Agent reads items, accounts and prices from Exact Online through its standard REST API and creates quotations and sales orders there after a rep approves. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week.
Does it work with Exact Globe as well?
Yes, with Exact Globe Next and Exact Globe+. The connection runs through Exact Globe’s entity services, or through its XML import for quotations and sales orders. Your IT partner makes the entity services reachable; we set up the rest.
Does it create quotations or sales orders in Exact?
Both. In the web app the rep chooses quotation or sales order for each request; emails forwarded to the agent mailbox become the document type your company has chosen. For customer purchase orders arriving by email, see purchase order to sales order automation.
Does ERP Agent replace Exact AI Assistant?
No, it adds a dedicated quote and order agent alongside it. Exact AI Assistant answers questions about the software and signals discrepancies in your accounting. ERP Agent does the sales desk’s work: it identifies the right items from customers’ shorthand and own codes in requests of several hundred lines, scores every line from 0 to 100 with its reasoning and alternatives, matches across languages and learns from the lines your team sends.
What does ERP Agent need access to in Exact?
Read access to items, units, customer item codes, accounts and sales prices, and permission to create quotations and sales orders. In Exact Online, a user with access to your administration grants that through OAuth; on Exact Globe, the connection uses its own user with only those rights. We agree the exact scope with you before setup.
Which Exact products does it work with?
Exact Online for Wholesale Distribution and for Manufacturing, where Exact runs quotations and sales orders, and Exact Globe Next and Exact Globe+ through the entity services. On another Exact product, we look at the route your version offers and agree it during onboarding.
