AI quote and order automation for Visma
ERP Agent reads the customer’s request from email, PDF or Excel, identifies the right items in your Visma item register, brings in that customer’s prices and creates the quote or sales order in Visma once your rep has approved it. It works with Visma Net ERP, Visma Business NXT, Netvisor and Visma Nova, and we set up the connection for your company during onboarding.
What ERP Agent reads from and writes to each Visma ERP
Each Visma ERP has its own standard API, and ERP Agent works through that API, not the screens. It works from your item register as it is today.
| Visma ERP | Standard API | What ERP Agent reads | What ERP Agent writes after approval |
|---|---|---|---|
| Visma Net ERP (Visma.net) | Visma Net ERP REST API and the separate SalesOrders API, signed in through Visma Connect | Items, customers, customer sales prices and discounts | Sales orders of order type QT (quote) or SO (sales order), with their lines |
| Visma Business NXT | Business NXT GraphQL API, signed in through Visma Connect | Products, associates (your customers) and the price and discount matrix | Orders with order type 5 (quotation) or 1 (normal order), with their order lines |
| Netvisor | Netvisor API (REST with XML messages) | Products with their prices; customers with their discount percentage and price group | Sales orders, through the sales invoice and order resource with the type set to order |
| Visma Nova | Visma Nova Webservice (SOAP with XML messages), installed in your Nova environment | Articles, customer details, price lists and pricing | Offers and sales orders, through the Order message with the order type set to offer or order |
Your item register, price lists and customer records stay exactly as they are: the agent reads them and never changes them.
Why Visma teams add an AI quote agent
The hard part of a quote is not typing it into Visma. It is reading “10 x press elbow 22mm 90” or a customer’s own article number and knowing which item that is, what this customer pays for it and which lines need a second look. According to our case study, a sales rep spends on average 4–7 minutes per line when creating quotes and orders by hand; for a 30-line enquiry, that is two to three and a half hours.
ERP Agent does that groundwork. It is the first agentic AI layer for wholesale distribution ERP systems, and on Visma it works on top of the system you already run: no replacement project, and quotes and orders stay ordinary Visma documents. Customers get answers sooner, reps spend their time on judgement and selling, and new reps are productive sooner. Put a number on today’s manual work with the quote cost calculator.
The same agent runs quote automation and order entry automation on any ERP; this page covers what it does inside Visma.
How Visma quote automation works
A request reaches the agent
Reps forward the customer’s email from Outlook to your company’s own agent mailbox, or paste it into the web app as it is and choose quote or sales order. PDF (scanned too), Excel, CSV, Word, images and forwarded emails all work. Your own systems can send requests through the REST API or the MCP server.
It finds the customer and the items
The customer is identified from the request and matched in your Visma customer register; the rep is warned when none matches. Abbreviations, dimensions, materials, part numbers and customer codes are mapped to your items, and candidates that contradict a stated size, voltage or pressure class are pushed down. A request in one language finds items described in another. A line too vague to identify goes on your placeholder item with the customer’s wording kept, never a guess.
Prices come from Visma
Each line carries the price Visma sets for that customer: customer sales prices and discounts in Visma Net ERP, the price and discount matrix in Business NXT, price lists and pricing in Visma Nova, and in Netvisor the product price with the customer’s discount and price group. Standard fee rows, such as packing, are added following your rules.
A rep reviews the draft
Lines appear in the table as they are matched. The rep checks the marked ones, takes an alternative where needed, makes changes in quote chat and approves.
It is created in Visma
Every item number is checked against Visma first, so a document never carries a number Visma doesn’t know. A short countdown lets the rep cancel. The lines your team sends teach the agent: the next time a customer writes the same thing, it picks the same item.
Example: an emailed order becomes a sales order in Visma Business NXT
A heating contractor emails an Excel order to a plumbing and heating wholesaler that runs Visma Business NXT. The rep drops it into the web app and chooses sales order.
“Order for the Bergen school job attached. Delivery to site on Monday, usual terms.”
- 10 x press elbow 22mm 90
- 6 x ball valve 1" FF
- 20 m pex 16x2 in conduit
- 4 x thermostatic rad valve angle 1/2
- 12 x our art. 4471-22
- 1 x fittings for the boiler room
| Request line | Proposed Business NXT product | Qty | Match | Note |
|---|---|---|---|---|
| press elbow 22mm 90 | Press elbow 90°, copper, 22 mm | 10 | 95 | “90” read as a 90° elbow; size matches. |
| ball valve 1" FF | Ball valve DN25 (1"), female × female, brass | 6 | 92 | “FF” read as female thread on both ends. |
| pex 16x2 in conduit | PE-X pipe 16 × 2.0 mm in protective conduit, sold per metre | 20 m | 88 | Pipe without conduit pushed down. |
| thermostatic rad valve angle 1/2 | Thermostatic radiator valve, angle, DN15 (1/2") | 4 | 76 | Brand not stated: the one this customer usually buys is proposed, a second brand kept as an alternative. Marked for review (under 80). |
| our art. 4471-22 | Pipe clip 22 mm with rubber insert | 12 | 98 | The customer’s own code, learned from an earlier order. |
| fittings for the boiler room | Placeholder item, wording kept | 1 | – | Too vague to identify; the rep decides. |
Illustrative example with sample products, codes and scores. In a real draft each line also carries the customer’s price from the price and discount matrix, and the site address is flagged because it differs from the customer’s address in Business NXT.
What the rep sees before anything reaches Visma
- A match score from 0 to 100. Lines under 80 are marked, so review starts where judgement is needed. How the match score works.
- Reasoning. Open a line to see why the agent chose that item.
- Alternatives. Runner-up items are kept for every line; take one instead with a click.
- Quote chat. Add or remove rows or change quantities and prices, then approve or reject each proposed edit line by line.
- Your team stays in control. The rep approves the draft before it is created in Visma, and nothing reaches a customer without approval.

Security and control
- GDPR-compliant, zero data retention. ERP Agent is GDPR-compliant, and models run with zero data retention. More on security and data handling.
- Access agreed first. Before setup, we agree which data the agent needs and which systems it can access.
- Only the access the work needs. In Visma Net ERP and Business NXT the connection is an application registered in the Visma Developer Portal and signed in through Visma Connect with the scopes we agree; in Netvisor it is its own integration user; in Visma Nova it is the Webservice connection key for your company database.
- A person approves. Nothing is written to Visma until a rep approves the draft, and nothing reaches a customer without your team.
- Reads, never rewrites. Items, prices and customer records are read; the agent creates quotes and orders and changes nothing else.
Onboarding: what we need from you
We set up the Visma connection for your company during onboarding. Your reps don’t wait for it: they start with a catalogue file the same week.
A catalogue export
An export of your item register from Visma, for example to Excel or CSV. Reps forward real requests from the first week, reviewing every draft in the web app. See starting from a catalogue file.
API access for your Visma
Visma Net ERP or Business NXT: your administrator gives ERP Agent’s application access to your company through Visma Connect. Netvisor: an integration user for ERP Agent. Visma Nova: the address of your Nova Webservice and the connection key created when it was installed. We send the exact list for your product.
Your company and document types
Which company the agent works in, and which order types it uses for quotes and sales orders, for example QT and SO in Visma Net ERP.
Your rules and history
Which placeholder item takes lines too vague to identify, which fee rows the agent adds, and past quotes or Outlook email history, so the agent learns how your customers write.
Live in Visma
Once the connection is live, customer prices come from Visma and approved quotes and orders are created there directly.

Visma today, any ERP tomorrow
ERP Agent integrates with Business Central, SAP, NetSuite, Visma, IFS, Sage and any other ERP or CRM. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week. Group companies on different systems, say Netvisor in Finland and Business NXT in Norway, use the same agent and the same review screen on each. See Business Central, Monitor ERP and all integrations.
ERP Agent is live with steel, HVAC and fastener distributors. What it checks on each line follows your trade: pipe sizes and pressure classes for plumbing and heating wholesalers, duct sizes and fire ratings for HVAC wholesalers, DIN and ISO codes for fastener distributors.
Frequently asked questions
Does ERP Agent work with Visma?
Yes. ERP Agent works with Visma Net ERP, Visma Business NXT, Netvisor and Visma Nova. It reads items, customers and prices through each product’s standard API and creates quotes and sales orders after a rep approves. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week.
What does ERP Agent create in each Visma product?
In Visma Net ERP, quotes (order type QT) and sales orders (SO). In Business NXT, quotations (order type 5) and normal orders. In Visma Nova, offers and sales orders. In Netvisor, sales orders. In the web app the rep chooses quote or sales order for each request; emails forwarded to the agent mailbox become the document type your company has chosen.
Does ERP Agent replace Visma’s AI Connect?
No. AI Connect is Visma’s MCP server that lets general AI assistants work with Visma Net and Business NXT data. ERP Agent is the agent that does the quoting itself: it identifies the right items from customers’ shorthand in requests of several hundred lines, scores every line from 0 to 100 with its reasoning and alternatives, matches across languages and learns from the lines your team sends. Your own AI assistants can call ERP Agent too, through its MCP server.
What does ERP Agent need access to in Visma?
Read access to items, customers and prices, and permission to create quotes and sales orders. Depending on the product, that is an application connected through Visma Connect, a Netvisor integration user or the Nova Webservice key, and we agree the scope with you before setup.
Where do the prices on a Visma quote come from?
From Visma: customer sales prices and discounts in Visma Net ERP, the price and discount matrix in Business NXT, price lists and pricing in Visma Nova, and the product price with the customer’s discount and price group in Netvisor. The rep can review and edit any price before sending.
We run another Visma product. Does it still work?
Yes. ERP Agent integrates with any ERP or CRM. For a Visma product not listed here, we look at the interface your version offers and agree the route during onboarding; until then, reps work from a catalogue file.
How do we get started?
