What does an ERP integration do in AI quote automation?

Keying a customer’s list into the ERP line by line is where quoting time goes: according to our case study, a sales rep spends on average 4–7 minutes per line when creating quotes and orders by hand. With your ERP connected, AI quote automation and order entry automation do that work inside it:

  1. Finds the customer

    It identifies the customer from the request in your ERP’s customer register and flags the draft for the rep when no customer matches.

  2. Identifies the right products

    Abbreviations, sizes, part numbers and the customer’s own codes are matched to items in your ERP, even when the request is written in a different language from your product names.

  3. Brings in customer pricing

    Customer prices, discounts included, come from your ERP’s own price logic, and your team can edit them before sending.

  4. Checks every code

    Every product code is checked against the ERP before anything is written, so a quote never carries a code your ERP does not know.

  5. Writes once a rep approves

    Every line carries a match score from 0 to 100, and lines under 80 are marked for review. Once a rep approves, the quote or sales order is created in your ERP, CRM or other system.

How we set up your ERP connection during onboarding

Connecting your ERP is part of onboarding, and we do the work:

  • API access, scoped to the work. Your ERP’s standard API, with credentials or an app registration that reads products, customers and prices and creates quotes and sales orders. Nothing more.
  • Your catalogue, from day one. Send a catalogue export, for example as CSV, and the agent identifies the right products from it on every line while the connection is set up. Reps download the reviewed draft as Excel or as a file in your ERP’s import layout. More on starting with a catalogue file.
  • Then straight into your ERP. With the connection in place, approved quotes and orders land directly in your ERP, CRM or other system, priced from your ERP’s own logic.

How do customer requests reach the agent from Outlook?

Each company gets its own agent mailbox. Reps forward customer requests there from Outlook, attachments and all, or paste them into the web app as they are. Connect a rep’s Microsoft 365 account and the agent also reads past requests and the quotes sent in reply through Microsoft Graph, and learns how your customers write. Do we need an ERP integration before we start?

No. Start with a catalogue file the same week: reps forward requests, review the drafts and download the result as a file your ERP imports. Once the connection is set up, approved drafts are written straight in, with customer pricing from your ERP and the same mailbox and review screen.

What does the agent write into the ERP?

The quote or sales order your rep approved, with the lines, quantities and customer prices from the review. On the supplier side, it writes the confirmed price, quantity and delivery date to the purchase order when a supplier order confirmation is approved. A person approves every draft before anything is written.

What does ERP Agent need access to?

Only what the work needs: reading products, customers and prices, and creating quotes and sales orders. Before setup, we agree which data the agent needs and which systems it can access, and we set up the API access with your team during onboarding.

Can quotes land in our CRM instead of the ERP?

Yes. Quotes and orders can land in your ERP, CRM or other system: we set up the CRM connection for your company and agree during onboarding what is written there.
