Can an AI agent automate quotes and sales orders in SAP S/4HANA?

Yes. ERP Agent takes over the slowest part of sales order processing in S/4HANA: turning a customer’s email, PDF or spreadsheet into a document with the right materials, the right sales area and that customer’s prices. It works on top of S/4HANA and creates the sales quotations and sales orders your inside sales team would otherwise enter line by line. A rep approves every one.

In a large distributor, the product master is big, maintained in several languages and sold through more than one sales organisation. The customer writes “bearing 6205 2RS C3” or their own part number. Someone has to work out which material that is and what this customer pays. According to our case study, a sales rep spends on average 4–7 minutes per line when creating quotes and orders by hand. How does SAP S/4HANA quote automation work?

  1. A request reaches the agent

    Reps forward the customer’s email to your company’s agent mailbox, or paste it into the web app as it is and choose sales quotation or sales order. PDF (scanned too), Excel, CSV, Word and images all work. Your own systems can send requests through the REST API or MCP server.

  2. Customer and materials are identified

    The agent finds the business partner from the company name or email domain and alerts the rep if none matches. Abbreviations, dimensions, standards and customer part numbers are mapped to materials in your product master, and candidates that contradict a stated size, voltage or pressure class are pushed down. A line too vague to identify goes on your placeholder material with the customer’s wording kept, never a guess.

  3. S/4HANA prices each line

    The agent asks S/4HANA for the price through a pricing simulation, so the net price on the draft is the one your pricing procedure gives this customer for this quantity. If the rep changes a price in review, it goes onto the item as a manually entered pricing element.

  4. A rep reviews the draft

    Lines appear as they are matched. The rep checks the marked ones, takes an alternative where needed and approves. A delivery address that differs from the customer’s ship-to party is flagged.

  5. The document is created in S/4HANA

    Every material number is checked first, then the quotation or order is created with one OData request and S/4HANA returns the document number. A short countdown lets the rep cancel. The lines your team sends teach the agent, so the next time a customer writes the same thing, it picks the same material.

What the rep sees before anything reaches S/4HANA

  • A match score from 0 to 100. Lines under 80 are marked, so review starts where judgement is needed. How the match score works.
  • Reasoning. Open a line to see why the agent chose that material.
  • Alternatives. Runner-up materials are kept for every line; take one instead.
  • Quote chat. Add or remove rows or change quantities and prices, then approve or reject each proposed edit line by line.
  • Your team stays in control. The rep approves the draft before it is created in S/4HANA, and nothing reaches a customer without approval.

API_SALES_QUOTATION_SRV creates a quotation once it is given a sold-to party, a sales area, and a material and quantity for every item. The customer’s email contains none of those: it has a company name, a site in Rotterdam and “coupling for 7.5 kW motor”. Getting from one to the other is the work your inside sales team does today.

That is the part ERP Agent brings: identifying the materials, pricing them from S/4HANA, the review screen and learning from every approved line, with no matching logic for your team to build or maintain.

Security and control

  • GDPR-compliant. ERP Agent is GDPR-compliant, and models run with zero data retention. See security.
  • Access scoped to the work. Before setup, we agree which data the agent needs and which systems it can access.
  • SAP’s own authentication. On S/4HANA Cloud Public Edition the agent connects through a communication arrangement with its own communication user, authenticated by user and password, client certificate or OAuth 2.0.
  • A person approves. By default nothing is written to S/4HANA before a rep has reviewed the draft, and the agent never sends anything to a customer on its own.

What setting up the S/4HANA connection involves

We set up the connection for your company during onboarding. What we need from your SAP team:

  • S/4HANA Cloud Public Edition: a communication arrangement for the Sales Quotation Integration (SAP_COM_0118) and Sales Order Integration (SAP_COM_0109) scenarios, plus read access to the product, business partner and customer material APIs.
  • S/4HANA in your own data centre or Private Edition: the same OData services activated in SAP Gateway and a technical user with the authorisations the work needs.
  • Your rules. Quotation and order types, the sales area to use when a customer is set up in more than one, and the placeholder material for lines too vague to identify.
  • Your own history. Past quotations and Outlook email history teach the agent how your customers write.
  • Start the same week. Reps can work from a catalogue file and forward real requests while the S/4HANA connection is set up.
  • Pricing. A setup fee plus a monthly subscription, scoped by integrations, product data and your requirements, with an itemised quote first. See pricing.

Where do the prices on an S/4HANA quotation come from?

From your S/4HANA pricing. The agent runs a pricing simulation for the customer and quantity, so the draft shows the price your own conditions give. The rep can review and edit any price before approving.

Does it create sales orders as well as quotations?
