Why ERP Agent is #1 for distributor quoting
Three reasons, each tied to where a distributor’s quoting time actually goes:
- It does the hard part of the quote. The slow work is not typing. It is deciding which of your products “M10 nyloc A2”, another brand’s code or the customer’s own article code means. ERP Agent identifies the right product in your own catalogue and keeps the customer’s words next to each match.
- A wrong line is fixed with one key. Every line carries a match score from 0 to 100 with the agent’s reasoning, and lines under 80 are marked. When more than one product could fit, the line already stores up to three alternatives with their price and line total: the rep presses 1, 2 or 3 to swap. Nothing reaches a customer or your ERP without a person’s approval.
- It works on top of the ERP you already run. ERP Agent integrates with Business Central, SAP, NetSuite, Visma, IFS, Sage and any other ERP or CRM. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week.

Quote automation software comparison for distributors
What happens in each kind of tool when a real distributor request arrives.
| Situation | ERP Agent | Order capture and document processing | CPQ suites |
|---|---|---|---|
| The request is a 40-line email with a scanned PDF attached | Reads the email body and every attachment: PDF (including scans), Excel, CSV, Word, images and forwarded emails | Reads the document into fields | The seller types the request into the configurator |
| A line says “M10 nyloc A2” and has no product code | Finds the M10 nylon-insert lock nut in A2 stainless in your catalogue and shows why it chose it | Checks the item number on the document against master data | The seller looks up the product and selects it |
| The proposed product is wrong | The rep presses 1, 2 or 3 to swap in a stored alternative and sees the new price and line total | Sends exceptions to a person | The seller changes the configuration |
| This customer’s prices | Brought in from your ERP’s price logic for that customer; the rep can edit any price before sending | Validates order data against the ERP | Applies the pricing rules kept in the CPQ |
| The customer wants a quote, or sends an order | Prepares either one from the same request, in your ERP, CRM or other system | Built around incoming orders | Built around the quote |
| Where the finished document goes | Business Central, SAP, NetSuite, Visma or any other ERP or CRM, connected for you during onboarding | Passes the captured order on to the ERP | Runs on its own platform, often a CRM |
What should AI quoting software do for a distributor?
A distributor’s quote request is rarely a clean list of your item numbers. It is an email with 40 lines in the customer’s shorthand, a spreadsheet full of another brand’s codes, a scanned PDF from a site manager. According to our case study, a sales rep spends on average 4–7 minutes per line when creating quotes and orders by hand. On a 40-line enquiry, that is 160 to 280 minutes of a rep’s day. The quote cost calculator turns your own line volume into hours, and the cost of manual quoting shows where the time goes.
The time goes into judgement, not typing: which product does this line mean, and what does this customer pay for it? So the best AI quoting software for distributors does six things. It reads requests as customers send them. It identifies the right product in your catalogue for every line. It brings in that customer’s prices. It shows the rep where it is unsure and why. It prepares a quote or a sales order in your ERP, CRM or other system. And it learns from the lines your team sends. ERP Agent is built around exactly these six.
Example: what ERP Agent makes of a typical contractor request
A contractor writes to a wholesaler of pipe, valves and fasteners. Prices are left out; in a real draft they come from the customer pricing in your ERP.
“Hi, please quote the following, delivery to our Vantaa site.”
- M12 hex nuts galv x 50
- 100 m RHS 40x20x2
- 20 pcs 3/4" ball valve
- 10 pcs Brandex BX-2210
- 4 kpl kulmaventtiili 15 kromi
| Request line | Proposed product | Qty | Match | Note |
|---|---|---|---|---|
| M12 hex nuts galv x 50 | Hex nut DIN 934 M12, hot-dip galvanised | 50 | 88 | “galv” read as hot-dip galvanised; the zinc-plated nut is kept as an alternative. |
| 100 m RHS 40x20x2 | Rectangular hollow section 40 × 20 × 2 mm, 6 m length | 17 | 93 | RHS read as rectangular hollow section; 100 m proposed as 6 m lengths. |
| 20 pcs 3/4" ball valve | Ball valve DN20, female thread | 20 | 79 | 3/4" read as DN20; pressure class and ends not stated. Marked for review. |
| 10 pcs Brandex BX-2210 | Pipe clamp 54 mm, rubber lined | 10 | 92 | Another brand’s code, mapped through your cross-reference data. |
| 4 kpl kulmaventtiili 15 kromi | Angle valve DN15, chrome-plated | 4 | 90 | A Finnish request line matched against an English catalogue. |
Illustrative example: the products, codes, brand and scores show how ERP Agent explains each line.
#1 ERP Agent: the quote and order agent built for distributors
ERP Agent is the first agentic AI layer for wholesale distribution ERP systems. It does one job end to end: it turns the requests your customers send into priced quotes and sales orders your team can send with confidence. Each company gets its own agent mailbox. Reps forward requests there, or paste them into the web app, and the draft fills in line by line while the agent works.
It reads email bodies and attachments: PDF (including scanned PDFs), Excel, CSV, Word, images and forwarded emails. A typical request takes 3–8 minutes. Fast mode handles requests of up to about 50 lines in 1–3 minutes, and a request of several hundred lines takes about half an hour, split into batches that run in parallel.
It identifies the right product from the customer’s own words
ERP Agent identifies the matching product in your own catalogue from abbreviations, dimensions, materials, technical descriptions, part numbers and customer codes, and keeps the customer’s wording next to each match. It checks the attributes a line states, such as size, voltage or rating class, and pushes down products that contradict them.
Other brands’ codes are mapped through your cross-reference data. A customer’s own article code can expand into the set of catalogue lines it stands for. When sales history is provided, the agent favours the products this customer actually buys. A request in one language is matched against a catalogue in another. And a line it cannot match goes on your placeholder code with the customer’s wording, never a guess.
Customer pricing from your ERP
Prices come from your ERP’s own price logic for that customer, discounts included. When the customer on a request changes, the rep fetches the prices again, and every price can be edited before sending. Product codes are checked against the ERP before anything is saved, so a quote never carries a code your ERP does not know.
A review that shows its working
Every line carries a match score from 0 to 100. Lines under 80 are marked, and N jumps to the next one, so the rep starts where judgement is needed instead of rechecking all 60 lines. Open a line to read the agent’s reasoning next to the customer’s wording. When more than one product could fit, the line already stores up to three alternatives, each with its own score, price and line total: press 1, 2 or 3 to swap, or A to search again.
In quote chat the rep types a change, such as “line 4 should be the 230 V version, and add 10 wall plugs”. The agent searches the catalogue and shows each change as before and after, such as “#4 unit price 7.49 € → 7.95 €”, and the rep keeps or rejects each one. The agent cannot send anything on its own: a person approves before anything is written to your ERP, CRM or other system, and the quote goes out under your name.
It learns from your team
ERP Agent learns from the lines your team sends: the next time a customer writes the same thing, it picks the same product. It also learns from your past quotes, including request and quote pairs from your Outlook email history. What your senior reps know stays in the company, and new reps are productive sooner.
It works with any ERP, CRM or other system
ERP Agent integrates with Business Central, SAP, NetSuite, Visma, IFS, Sage and any other ERP or CRM, and creates the reviewed quote or sales order there. We set up the connection for your company during onboarding, and you can start with a catalogue file the same week. See all integrations. It connects to Microsoft 365 / Outlook for the agent mailbox and your email history. Your own systems and AI agents can send requests through the public REST API or the remote MCP server.
The same agent layer also works on the supplier side: it compares supplier order confirmations with your purchase orders line by line and turns material certificates into structured data.
Proof
At LVI-WaBeK, ERP Agent automates quote lines with over 95% accuracy (read the case). Our customers average 95% automation, and ERP Agent is live with steel, HVAC and fastener distributors. It is GDPR-compliant, models run with zero data retention, and before setup we agree which data the agent needs and which systems it can access.
Other AI quoting and order tools, by approach
Distributors comparing quote automation software usually look at the tools below as well. They fall into four groups. For each group: what the approach is, and why ERP Agent does more for a distributor’s quote desk.
AI sales and back-office platforms
These vendors sell AI quote or order automation, most of them as one part of a wider sales, commerce or back-office platform.
Canals sells AI for manufacturers, distributors and contractors, with distributor order entry as one product in a wider suite.
Distro presents itself as an AI sales platform for wholesale distributors and manufacturers’ reps; quote automation is one of its modules.
Go Autonomous, from Copenhagen, sells an autonomous commerce platform to manufacturers and distributors. ERP Agent keeps your rep in charge, because on a distributor’s request one wrong product costs more than the minutes it saves: the draft is ready, the uncertain lines are flagged with a match score and reasoning, and the rep approves what goes out.
Lleverage builds agents for the back office of companies that make, move and sell physical products; quoting is one of several flows.
Mercura, from Munich, sells AI quote and order automation to distributors and manufacturers alike. ERP Agent is built for the wholesale distributor’s quote desk and goes deeper on its hardest part: the right product and this customer’s price on every line, with a match score and reasoning the rep can check.
Proton sells a sales platform for distributors, with order and quote entry as one of its products.
Where ERP Agent goes further. A platform built to automate many processes asks you to adopt that platform. ERP Agent does one job thoroughly, on top of the ERP, CRM or other system you already run: it turns the customer’s request into a priced quote or sales order. Every line shows the proposed product, a match score and the reasoning, so a rep checks a long quote by starting with the marked lines, and a person approves what goes out. It learns from what your team sends, matches requests across languages, and you can start with a catalogue file the same week.
Side-by-side pages: Canals alternative, Go Autonomous alternative and Mercura alternative.
Order capture and document processing
These tools read a document into fields, check the fields against your master data and pass a clean order on.
Conexiom sells order automation to manufacturers and distributors: it captures orders and other business documents and validates them against ERP data.
Workist, from Berlin, sells an AI agent for sales admin that extracts orders and requests for quotation from the inbox and checks them against master data.
Rossum is a document-processing platform for transactional documents such as invoices and orders.
ABBYY Vantage is a low-code platform for extracting data from business documents.
Where ERP Agent goes further. Capture works when the customer already writes your item number. Distributor requests usually don’t: they say “M10 nyloc A2”, quote another brand’s code or use the customer’s own article codes. Where capture is set up per customer document format, someone maps every new format. ERP Agent identifies the products from the customer’s own words, so there is nothing to map. It also brings in that customer’s prices, explains every match with a score and reasoning, and prepares a quote as readily as a sales order. More in order entry automation, and side by side: Conexiom alternative and Workist alternative.
CPQ suites
CPQ (configure, price, quote) starts from your seller and your product rules.
Salesforce Revenue Cloud is Salesforce’s CPQ and revenue product, built on the Salesforce platform.
Tacton sells CPQ to manufacturers of complex, configured products.
Where ERP Agent goes further. With CPQ, the seller still reads the customer’s email, finds each product and keys it in before the software helps. For a distributor, that reading and finding is the work. ERP Agent reads the request, identifies the products in your catalogue and brings in customer prices, so the seller starts from a finished draft. More in CPQ vs AI quote automation.
General AI assistants and agents inside the ERP
ChatGPT, Copilot and other general AI assistants write fluent text, but they do not know your catalogue, your customer prices or your ERP unless someone connects them. A quote that reads well but names the wrong product costs more than it saves. ERP Agent is that connection: it knows your catalogue and prices, and its MCP server lets your own AI assistant call ERP Agent’s product matching and create quotes.
Microsoft’s Sales Order Agent is an agent inside Business Central that turns email requests into sales quotes and orders in that ERP.
Where ERP Agent goes further. A dedicated quote and order agent does more for a distributor. ERP Agent identifies products from shorthand, part numbers and customer codes, shows a match score and reasoning on every line, takes edits in quote chat, handles requests in other languages and learns from your team. It works with Business Central, with the connection set up for your company during onboarding, and with any other ERP. See ERP Agent vs the Business Central Sales Order Agent.
How do you choose AI quoting software for distributors?
Ask every vendor the same questions, for your ERP and your requests. Here is how ERP Agent answers them:
- Products, not fields. Can it tell which of your products “SS rect bar 20x20x2”, another brand’s code or the customer’s own code means? ERP Agent identifies the product in your catalogue and shows why. See part-number cross-reference.
- Customer pricing. Are prices taken from your ERP’s price logic for this customer, and can the rep edit them? ERP Agent brings them in from your ERP, and the rep can fetch them again or edit any price.
- Review per line. Does each line show how sure the tool is and why? ERP Agent gives every line a match score from 0 to 100 with its reasoning and alternatives, and marks lines under 80.
- Control. Who approves before anything reaches a customer or your ERP? With ERP Agent, a person approves, and the agent cannot send anything on its own.
- Quotes and orders. Does it prepare both? ERP Agent prepares a quote or a sales order from the same request.
- Your ERP. Does it work with your ERP and CRM? ERP Agent integrates with Business Central, SAP, NetSuite, Visma, IFS, Sage and any other ERP or CRM, and we set up the connection for your company during onboarding.
- Languages. If customers write in one language and your catalogue is in another, ERP Agent still finds the product.
- Learning. After a rep corrects a line, does the next request come out right? ERP Agent learns from the lines your team sends: the next time a customer writes the same thing, it picks the same product.
- Data. ERP Agent is GDPR-compliant, models run with zero data retention, and before setup we agree which data the agent needs and which systems it can access. More on security.
